Terms and Conditions

1. PRICES
All prices are in US Dollars and are subject to change without previous notice. Prices are based per person, in double occupancy room, unless otherwise specified in each quotation, package, product, tariff guide, brochure, etc.

1.1 RATES FOR OPTIONAL SERVICES
Rates mentioned in our quotation as optional tours are only valid for services booked in advance before arriving into the country. For Optional services booked and paid locally by travellers, the rates will be higher than the ones we previously sent to our company client and will be net.

Services booked on the spot by passengers can only be paid in cash or Credit card, according to what will be informed to them locally.

1.2 NOT INCLUDED SERVICES
The passenger is responsible for obtaining passports, visas, travel insurance, payment of checked and/or excess baggage, personal extras at the hotel (drinks, laundry service and communication, etc.), national and international airport departure taxes, gratuities, tourist city fees, pier tax and any other services that were not specified in the itinerary.

If in doubt, please check with the appointed travel consultant.

1.3 UNUSED SERVICES
Some services may be interrupted or cancelled due to climate conditions, force majeure reasons, acts of nature, strikes or other reasons beyond the control of the hotels, airlines, Trips SouthAmerica or its associates and suppliers.

While every effort will be made to provide all items on the travel itinerary as booked, no reimbursements will be made as a result of such interruptions or cancellations that escape our control.

2. ITINERARY

Although our itineraries are planned with great care by our destinations experts, for operational reasons once the traveller has arrived in the destination, it may be necessary to change the sequence of activities. These changes are exceptional, and if they should happen, it will be with the sole aim to offer the best experience to the travellers.

3. BOOKING DETAILS

3.1 Every reservation must include at least the following information about the passenger(s) or group:

• Complete names and surnames.
• Nationalities.
• Passport numbers.
• Dates of Birth.
• Gender.
• Dietary restrictions, if any.
• Any other condition important for our travel experts to be aware of.

3.2 It is advisable to also provide us a phone number and / or e-mail address to contact the passenger only while they are travelling, in case there should be any last minute changes on the itinerary.

3.3 In the case of having a bus / coach ticket on regular public service included in the itinerary, it is mandatory to provide us a mobile phone number of the passenger for us to contact them, should we need to reach them about any doubts while on that service.

4. INDIVIDUAL / GROUP SIZE DEFINITION

Although certain suppliers, hotels and cruises may have specific conditions that will be informed in each quotation by our destinations experts, in general terms Trips South America considers the following:

  • Individual conditions apply to a set of nine or less travellers.
  • GROUP conditions apply to a set of ten or more travellers.

5. PAYMENT FOR RESERVATION

5.1 REGULAR PAYMENT CONDITIONS FOR LAND PRODUCT
Full payment is required on behalf of Trips SouthAmerica and it constitutes the acceptance of the terms and conditions set out herein.

Our regular deadlines for our land product are:

• 45 days prior to the date of arrival for FITs.
• 60 days prior to date of arrival for Groups.

Tighter pre-payment conditions and cancellation charges may apply on a package due to the suppliers included or the travel date. These conditions will be specifically mentioned by our travel consultant at the moment of your request.

5.2 PAYMENT METHODS (for Groups and FIT´s)

5.2.1 Wire transfers: Payments should be made via WIRE transferences to our bank account. You may request the account data from your appointed travel consultant.

5.2.2 Credit cards: Credit card payment is available; however, a “Signature on File” form must be filled in and sent to us in advance. This form authorizes us to charge our services to your Visa, Master Card or American Express. You may request this form from your consultant.

5.2.3 PayPal payment. We accept this form of payment and it allows a variety of methods including: PayPal Cash or PayPal Cash Plus account balance, a bank account, PayPal Credit, debit or credit cards, and rewards balance.

5.2.4 Since our quotations and services are offered at our most competitive rates and they are valid for wire transferences (unless otherwise mentioned in the quotation presented by our travel consultant), for Credit Card and PayPal payments there will be an additional fee equal to 3.5% from the package rate.

6. CANCELLATIONS AND REIMBURSEMENTS

Notifications of cancellations and requests for reimbursements should be made in writing including all related information, and will receive immediate attention from us.

6.1 Regular cancellation charges
Different cancellation charges apply according to the different hotels and service providers included in the itinerary.

Cancellation charges tend to rise as the date of arrival approaches; Trips SouthAmerica will do its best effort to keep these charges as low as possible, however, in general terms, these are the standard fees:

6.1.1 Land services for FITS:

• 60% when cancelling between 45 and 31 days before the date of arrival.
• 80% when cancelling between 30 and 15 days before the date of arrival.
• 100% when cancelling between 14 and 0 days before the date of arrival.

6.1.2 Land services for GROUPS

• 40% when cancelling between 60 and 46 days before the date of arrival.
• 60% when cancelling between 45 and 31 days before the date of arrival.
• 80% when cancelling between 30 and 15 days before the date of arrival.
• 100% when cancelling between 14 and 0 days before the date of arrival.

6.1.3 Air tickets, all-inclusive hotels and cruises have specific cancellation fees and they vary according to the dates. This will be informed accordingly.

6.2 During special dates and holidays, suppliers tend to change their cancellation policies for tighter ones. If you have any doubts about this, please ask our travel consultants for the specific details in each booking.

7. POLICIES AND FARES FOR INFANTS AND CHILDREN

The special terms and rates for minors will be applied in each quote, as they are subject to the suppliers involved in each proposal.

Please note that the exact age at the moment f traveling (or date of birth) will be required at the moment of calculating the proposal; so as to not only select the suppliers with the best children policies, but to also provide the correct discounts for them, according to the age.

8. SPECIAL DATES AND CONDITIONS

Some, destinations, services and hotels increase their rates and have tighter Terms and conditions during some public holidays, religious festivities or special dates.

In the case any quotation does not follow the regular deadlines and cancellations fees detailed in this document, our travel consultants will specify that.

Some of these special dates or events are:

  • Carnival.
  • Easter Week.
  • National Holidays, variable in each country.
  • Christmas Holiday (December 24 th and 25 th ).
  • New Year’s Holiday (December 31 st and January 1 st ).
  • Special events in each town.
  • Sports events.
  • Meetings and events with international importance.

9. AIR TICKETS

9.1 Air tickets rates are subject to change without previous notice until they have been issued.

9.2 Please note that in order to issue an air ticket, airlines require the personal details that appear on the traveller`s passport and those details or a scanned copy of that document will be requested to be sent via email.

9.3 Although a flight ticket has been issued, a flight schedule may be subject to change by the airline´s decision, up until the same day of the flight.

9.4 Additional restrictions, limitations, penalties and/or specific conditions to our Terms and Conditions may be placed by the airlines when issuing, changing or cancelling a ticket.

10. VAT EXEMPTION ON ACCOMMODATION

10.1 ARGENTINA
According to Decree Nº 1043/16, foreign guests may benefit of VAT 21% exemption over the room rate and the breakfast rate.

To apply this benefit, agents must send the copy of the passport at the moment of making the reservation, and guests must present the copy of their passports at the check in and must show the entry stamp in the country (No show penalties are excluded from this benefit).

In case of No Show or cancellation with penalty, the hotel will apply the VAT according to the selected rate type.

10.2 CHILE
In Chile, hotels are tax free for foreign travellers.

When doing Migrations to enter Chile, passengers will receive the Migration Card from the PDI officers (Customs Officers). Travelers should keep that document with you until the last point of departure of the country.

Hotels will request that card together with the passport at the check-in so as to validate the exemption of the hotel VAT tax, equal to 19%.

10.3 URUGUAY
In Uruguay, hotels are tax free for foreign travellers, equal to 22%. This benefit is valid for foreigners living outside Uruguay and presenting the ID issued abroad, such as the passport with the entry stamp to the country. This expenditure is invoiced without VAT since it is exempt and therefore the tax is not charged, not generating any refund.

10.4 PERU
Foreign nationals and non-Peru citizens do not have to pay the 18% VAT on accommodation, if staying in the country up to 59 days. To be exempt from this additional tax, the foreign passport must be presented.

10.5 OTHERS
If in doubt about this regulation for the countries detailed above or for other destinations included in your trip in South America, do not hesitate to contact your appointed destination expert.

11. LOCAL TOURIST CITY TAX IN SOUTH AMERICA

A local Tourist City tax, commonly detailed as tourism tax, is a small fee charged to visitors by the municipality with the aim of financing and maintaining tourist facilities, producing brochures and modernising tourist attractions.

As in other cities and main destinations in the world, prices vary between countries and even cities, and not every destination charges for that.

This tax is not generally included in the booking price and in our rates, so if you are not sure if any of the destinations included in the trip will charge a local tax upon arrival or at the check-out (usually in cash), then your Trips SouthAmerica travel consultant will be happy to help.
Please, check with them if in doubt.

11.1 EASTER ISLAND (CHILE) ENTRANCE FEE
Please note that in this case the entrance fee to the Rapa Nui National Park must be paid before arriving to that destination.
Please complete the Rapa Nui Entry Form (IRN) here https://ingresorapanui.interior.gob.cl/  and be aware of the documentation that you have to exhibit when controlled at the airport by the police officer.

12. PASSPORTS, VISAS AND CUSTOMS

12.1 Please be advised that visa and reciprocity fee requirements are subject to change in each country and that this procurement is the responsibility of the traveller and not Trips SouthAmerica.

12.2 Most of the visas in South America can be obtained on arrival, however, it is highly recommend you to check with your local embassy or consulate about all the necessary documentation required in the destinations you will be visiting.

12.3 Carrying a photocopy of the passport (and leaving the original in the hotel) is usually enough and highly advisable if you are only walking around a town. However, always have the original if you travel anywhere between cities and especially across borders.

12.4 Some countries may hand out some entry-exit cards in paper at arrival; please be sure to keep them with your passport until leaving the country.

12.5 Customs vary slightly in South America, but in generally terms a tourist can bring in personal belongings, camera gear, laptops, handheld devices and other travel-related gear.
All countries prohibit the export (just as home countries prohibit the import) of archaeological items and goods made from rare or endangered animals.

Avoid carrying plants, seeds, soil, fruits and fresh meat products across borders.

In case of any doubts in relation to the items above, do not hesitate to contact your appointed travel consultant.

13. VACCINATIONS

13.1 Please be advised that the vaccinations requirements are subject to change in each country and that it is the responsibility of the traveller and not Trips SouthAmerica to check about the requirements before the arrival. However, if you have any doubts, do not hesitate to contact one of our destinations experts who will assist you.

13.2 The World Health Organization (WHO) emphasizes that all travelers (domestic and international) should be up to date with routine vaccinations. Following to that, travelers should check that they have been fully vaccinated against measles, rubella, mumps, diphtheria, tetanus, pertussis (whooping cough) and poliomyelitis before starting their travel.
Non-immunized or incompletely immunized travelers should be offered the routine vaccinations recommended in their national immunization schedules, in addition to those needed for international travel (e.g. yellow fever vaccine).

13.3 The WHO recommends the following vaccinations for travelers to South America: hepatitis A, hepatitis B, typhoid, cholera, yellow fever and rabies.
Some routine vaccinations are also recommended, such as: measles, mumps and rubella (MMR), tetanus, diphtheria and pertussis (Tdap), influenza, chickenpox, shingles, pneumonia, meningitis and polio.

13.4 Proof of yellow fever vaccination may be required for some travelers, based on their specific itinerary. It is possible to find further details in the WHO website.

14. TRAVEL INSURANCE

We highly recommend passengers to get a trip cancellation, travel repatriation and international medical insurances to cover any inconveniences that might arise during the trip.
We also urge you to check with a doctor to update vaccines and review medical concerns regarding international travel.

15. LIABILITY CLAUSE

The tour operator and its agents act only as agents for passengers in all matters pertaining to transportation, accommodations or other services not provided directly by Trips SouthAmerica.

As agents, all tickets, exchange orders or vouchers are issued by them subject to any and all terms and conditions under which such means of transportation; accommodations or other services are offered or provided.

The booking agent, airlines involved and general agent will not be liable for any vehicle furnished by any such other party, firm or corporation in carrying out or failing to carry out arrangements previously agreed upon, nor for the negligent misconduct of any such other party, firm or corporation in providing or failing to provide, are not to be held responsible for any act, omission or event during the time passengers are not on board their conveyance.

The passenger contract in use by the airlines concerned, when issued, shall constitute the sole contract between booking agent, airline general agent and the purchaser of these and/ or passenger.

We suggest that you book an insurance policy with your Travel Agency.

1. BOOKING PROCEDURE

To book an activity, the user must read, understand and accept the conditions that every activity has. This information is displayed in the detail of every activity or package.
Once one of the package is chosen, you must indicate the date and number of people that will take the itinerary. After that, the purchase process will begin through Paypal, or bank transfer, accordingly.

You will receive an automatic confirmation, via e-mail after the payment is processed. Nonetheless, Trips SouthAmerica will then send you another message so as to double check
further details of the booking and will confirm other details to finalize the booking process.

The passenger is responsible for obtaining and paying for hotels, flights, passports, visas, travel insurance, payment of excess baggage, personal expenses such as extra drinks, laundry
service, communication (calls, faxes, emails, etc.), national and international airport departure taxes, turist tax, gratuities, or other services and fees not specified in the itinerary.

4. UNUSED SERVICES

suppliers or Trips SouthAmerica or its associates. No reimbursements will be made as a result of such interruptions or cancellations that escape our control.

In case of the re-schedulling of a tour due to weather reasons, we will offer the best new option without anyt additional cost.

5. INSURANCE

We highly recommend passengers to get trip cancellation, travel repatriation and international medical insurances to cover any inconveniences that may arise during the trip.
We also urge them to check with their doctor to update vaccines and review medical concerns regarding international travel.

6. BOOKING AND PAYMENT POLICIES

In case this is not provided at the check-out, or any other important information for the booking, one of our representatives will contact you so as to finalize the purchase.

7. PAYMENT CONDITIONS

Full payment is required at the e-shop check-out. Payment constitutes the acceptance of the terms and conditions set out herein.
All the rates for the package include all the local taxes and is the final rate, for the itinerary(ies) selected.

8. PAYMENT METHOD

  • At the moment we accept payments via PayPal.

9. CANCELLATIONS AND REIMBURSEMENTS

Notifications of cancellations and requests for reimbursements should be made in writing including all related information, and will receive immediate attention from us.

9.1. CANCELLATION CHARGES

We will refund the total amount of the tour paid, if canceling up to 11 days before the arrival date. In case of cancelling between 10 and 0 days, full cancellation charges will apply.

This refund, in case of applying, will be made via the same means the service was paid (PayPal). Please note that this entity may have certain charges corresponding to their
transaction fees. Those fees may be around 5%, and it will have to be covered by the receiver as this is not charged by Trips SouthAmerica.

10. SPECIAL DATES

Some services increase their rates during some holidays or special dates and for this reason the calendar is not permiting the direct online purchase for those periods. 11. CHILDREN´S POLICIES

Displayed rates ar for adults. Discounts may apply for minors, please contact us if in doubt before doing the purchase at 0054 351 56818012 or

Parents may be required to present the childs´ID before the tour. If it turns out that the age requirement is not met, it will be charged on the spot the diffrerence for that tour.

12. OTHERS

It is not allowed to copy or reproduce any part of the content in the website; resell any of the services offered; use the website with any other means except for booking activities; publish fake information in the website; publish or pass illegal, obscene, pornographic and inadequate information; trasnmit to our website a virus that may affect the normal functioning of our platform.

We are always putting a great effort to keep our website available in every moment; however, we cannot assure that the access to the content will not be interrupted or affected by reasons of force majeure.
